Placing a Conference Call

Turn a call into a conference call by following the instructions below:
  1. During a call, press the More soft key then the Confrn softkey.
    This selects a new line and places the other party to whom you were speaking on hold.
  2. Place a call to another number by dialing the other party to include on the conference call.
  3. When the call connects, press Confrn again to add the other party to the conference call.

Conference Call Tips:

  • When the conference call initiator disconnects, the conference call is terminated
  • To place a conference call on hold, press the Hold softkey. The other parties can not talk among themselves. To avoid disrupting the other callers, consider muting the call instead. To mute the call, press the MUTE button.
  • To place a conference call on speakerphone, press the SPEAKER button. Press the MUTE button to mute the speakerphone. The conference parties cannot hear you but you can hear them.
  • The Cisco IP Phone 7940/7960 only allows three parties in a conference call.
  • Call waiting calls cannot be conferenced in, the conferencing node must establish both legs of the 3-Way conference.

Changing your Ring Tone

Sometimes, more than one person in the office with the same ring tone may lead to confusion.
The Cisco IP Phones can be configured so you can select your own ring.
To do this:

  1. Press the settings button
  2. Select User Preferences and press the Select soft key (or press 1)
  3. Select Rings and press the Select soft key (or press 1)
  4. Next screen select Default Ring and press the Select soft key (or press 1)
  5. Scroll down to see the different ring tones (to preview it press the Play soft key)
  6. Once you find the ring you would like to use, press the Select soft key
  7. Press the Save soft key
  8. Press the Exit soft key (three times) to exit the settings menu

Adjusting the Volume on the Ringer

  1. Press the volume key to hear the current level
  2. Press the volume key up or down to adjust the volume to your preferred level

That is it!

Forwarding Calls

How to forward calls to another extension or an external phone number
  1. Press the CFwdAll soft key, you should hear two beeps
  2. Enter the number or extension to which you want to forward all of your calls

To stop forwarding calls:

  1. press the CfwdAll soft key

Important notes:

  • To forward calls directly to your voice mail, forward to X-6650
  • To forward calls to an external number dial 9 + number
  • You can only forward external numbers with area codes 281, 713, 832.

Cisco IP Phone 7940 - 7941 Series



  1. Programmable Buttons:
    Depending on configuration, programmable buttons provide access to: Phone lines (line buttons) " Speed-dial numbers (speed-dial buttons) " Web-based services
  2. Phone screen:
    Shows phone features such as time, date, phone number and current options
  3. Footstand button:
    Allows you to adjust the angle of the phone base
  4. Messages button:
    Typically auto-dials your voice message service so you only need to enter your password.
  5. Directories button:
    Opens/closes the Directories menu. Used to access call logs and corporate directories. Provides access to your missed, received, and placed calls. You can use each of these directories to locate or dial these numbers.
  6. Help button:
    Activates the Help menu
  7. Settings button:
    Opens/closes the Settings menu. Provides access to phone settings such as LCD screen contrast, ring sounds, network configuration, and status information.
    Use it to control phone screen contrast and ring sounds.
  8. Services button:
    Opens/closes the Services menu. Provides access to available phone services that have been implemented. These may include Fast Dials and Extension Mobility login/logout screens.
  9. Volume button:
    Controls the volume settings for the handset, headphones, and speaker options.
  10. Speaker button:
    Toggles the speakerphone on or off. When the speakerphone is on, the button is lit.
  11. Mute button:
    Toggles the Mute feature on or off. When Mute is on, the button is lit.
  12. Headset button:
    Toggles the headset on or off. When the headset is on, the button is lit.
  13. Navigation or scroll buttons:
    Allows you to scroll through menus and highlight items. Use in conjunction with
    softkeys to activate highlighted items.
  14. Keypad:
    Allows you to dial phone numbers, enter letters, and choose menu items
  15. Softkey buttons:
    Each button activates a softkey option (displayed on your phone screen).
    Softkey buttons are contextual, their options change according to which menu or function you are using.
  16. Handset light strip:
    Indicates an incoming call or new voice message.
